Purpose:
To meet legal
and ethical responsibilities to
protecting confidentiality of the
company’s clients and employees.
Definition:
-
Authorized:
The individual has a need
to access, review and/or use
information in order to perform
the duties of his/her position
and is expressly permitted by
policy and/or procedure or the
instruction of his/her
supervisor to access, review
and/or use the information.

Confidential information:
Any information that is
subject to disclosure
restrictions under federal or
state law or regulation or has
been deemed confidential by
leaders within the company.
Coverage:
This policy
applies to all employees, external
consultants, independent
contractors, temporary personnel,
students, volunteers and interns.
Policy:

Except
when authorized by law,
employees are obligated to keep
in confidence and not access,
publish or otherwise disclose,
use, alter or destroy, any
confidential information that
they may acquire, learn, develop
or create by reason of their
employment or work with the
company.
-
Any
covered person who falsifies or
inappropriately accesses,
publishes or otherwise
discloses, uses, alters or
destroys confidential
information is subject to
corrective/disciplinary action,
up to and including termination
of employment and criminal
prosecutions, termination of
contractual or other
relationship and any other
remedies allowed by law.

Disposal
of confidential information must
be accomplished in a manner that
assures that it is maintained
consistent with applicable
policy and procedure.

Individuals
who terminate employment/work
with the company (voluntarily or
involuntarily) continue to be
obligated to maintain
confidentiality as defined by
this policy.
They must return all
originals and copies of all
documents containing
confidential information in
their possession, custody or
control no later than their last
day of work.
Supervisors must ensure
that all future access to
confidential information is
discontinued, including
notifying the appropriate
department to revoke logon IDs,
access codes and/or passwords.
